Email Integration

Email Integration connects your Gmail account to Simplify so your recruiting emails and Simplify Job Tracker stay in sync.

Instead of manually searching your inbox or updating application statuses yourself, Email Integration helps bring your recruiting conversations into the same place where you track jobs. You can view email threads alongside your applications, compose emails from within the Job Tracker using AI Email, receive recommended status updates, and generate drafts with AI.

We built Email Integration because recruiting conversations are a key part of the job search, but they often live separately from everything else. Keeping your inbox and Job Tracker connected gives Simplify more context to organize your search without requiring you to copy information between tools.

Before you begin

To use Email Integration, you'll need:

  • A Simplify account

  • A Gmail account

  • An active Simplify+ subscription if you want to use AI Email (email drafting). Other Email Integration features, including Smart Matching (automatically matching recruiting emails to your tracked applications) and Recommended Status Updates, are available for eligible users with the feature enabled.

Connect your Gmail account

  1. Go to simplify.jobs/settings.

  2. Scroll to the Email Integration section.

  3. Click Enable Email Integration.

  4. Sign in to your Google account and grant the requested permissions.

  5. Simplify will begin syncing your inbox. The initial sync may take a few moments while recruiting emails are matched to your tracked applications.

Once connected, your Gmail address will appear in the Email Integration section of Settings.

If you decide to disconnect Gmail later, you can do so at any time by clicking Disable Email Integration. If you reconnect in the future, a new initial sync will run.

What Email Integration does

View recruiting conversations

Each tracked application includes an Emails tab where you can see email threads matched to that opportunity.

To view emails:

  1. Open an application in Simplify Job Tracker.

  2. Select the Emails tab.

  3. Browse the matched conversations, sorted by most recent.

You can open any thread to read the full conversation. Threads are marked as read after you open them, and you can archive conversations you no longer need to keep visible.

Get recommended status updates

When Simplify detects that a recruiting email suggests your application has moved forward—or reached a conclusion—it can recommend updating your application status.

For example, this might happen after receiving an interview invitation or a rejection email.

When a recommendation appears, you can:

  • Click Approve to apply the suggested status update.

  • Click Decline to dismiss it.

  • Click Approve All to accept all pending recommendations at once.

Recommendations are generated automatically as new recruiting emails are matched to your applications.

Compose emails from Job Tracker

You can send emails to recruiters directly from a tracked application.

To compose an email:

  1. Open an application in Simplify Job Tracker.

  2. Select the Emails tab.

  3. Click Compose.

  4. Enter your recipients. Simplify can suggest contacts from existing email conversations associated with that application.

  5. Write your message and click Send.

You can minimize the compose window while referencing other information in your Job Tracker.

Generate emails with AI (Simplify+)

If you have Simplify+, you can generate email drafts directly from the compose window by clicking Ask AI.

You can either:

  • Describe what you'd like the email to say with a custom prompt.

  • Choose a template based on your current stage in the application process.

Templates are grouped by where you are in the application process.

  • Application Stage → Follow up after applying, ask for a referral

  • Assessment Stage → Request a deadline extension

  • Interview Stage → Send a thank-you, follow up, reschedule, or decline

  • Offer Stage → Negotiate, accept, request more time, or decline

  • No Longer in Consideration → Send a final thank-you

We grouped templates by application stage so it's easier to choose the right type of message before generating a draft.

After AI generates a draft, you can edit it, regenerate it, or use it as a starting point before sending. You stay in control of the final message.

Disconnect Gmail

To remove your Gmail connection:

  1. Go to SettingsEmail Integration.

  2. Click Disable Email Integration.

  3. Confirm your choice.

📝 Note: If an inbox sync is currently in progress, you'll need to wait for it to finish before disconnecting.

Privacy

Gmail Integration uses your connected Gmail account to match recruiting emails with your tracked applications and power Gmail Integration features.

Your email conversations are not sent automatically on your behalf, and AI-generated emails are always reviewed by you before sending.

Next Steps

Once Gmail Integration is connected, your recruiting conversations become part of your workflow in Simplify Job Tracker. As new emails arrive, you'll be able to view them alongside your applications, receive recommended status updates, compose recruiter emails, and (if you have Simplify) generate AI-assisted drafts without leaving your tracker.
